The outreach emails that get replies share one trait: they read like they were written by someone who actually read the target page, not a mail-merge field pulling in {{first_name}} and {{site_name}}. Subject lines that get opened are specific and low-pressure. "Quick fix for a broken link on your Core Web Vitals post" beats "Great content!" or "Collaboration opportunity" — both of which read as templated the instant they hit an inbox that's seen a thousand of them. The opening line should prove you read the page, in one sentence, without flattery. "Your piece on internal linking mentions orphan pages but doesn't cover how to find them at scale" does more work than "I loved your amazing article!" — it shows genuine engagement and sets up a natural reason for your message to exist. The ask should be small and specific. Not "would you consider linking to my resource" (vague, easy to ignore) but "I built a free tool that finds orphan pages automatically — happy to send you the link if it'd be useful for that section" (specific, low-commitment, gives them an easy yes or no). Keep it under 100 words. Every line past that is a line the recipient has to decide whether to keep reading, and outreach emails lose readers with every additional paragraph. Follow up once, after 5-7 days, and make it genuinely short — "Just floating this back up in case it got buried, no worries either way" performs better than a longer, more elaborate second pitch. A second follow-up rarely helps and often just gets you marked as spam; if there's no response after one follow-up, move on. The broken-link-building variant of this — "I noticed this link on your resources page returns a 404, here's a live replacement" — consistently gets the highest reply rate of any outreach angle, because you're offering to fix something that's actively broken on their site, not asking for a favor.
